A promising conversation can disappear between emails, notes and urgent matters. Weeks later, you remember the company name but not what it needed or what you agreed.
A CRM for lawyers focused on business development helps preserve that context. It organises opportunities, assigns responsibility and makes the next step clear. It should not be confused with legal matter management.
Before choosing a tool, define the process. Automation is useful when it supports a way of working your team understands and can review.
Separate business development from legal matter management
Your business development record needs enough context to explain the fit, the source of the reference, conversations and pending actions. A legal matter may contain documents, strategy and information requiring different access and handling.
Combining both areas in the first form introduces unnecessary information into tools and teams that may not need it. Design the enquiry process to request only what is needed at that stage.
For example, an initial enquiry might ask for company details, a contact, an area of interest and a preferred way to respond. Matter documents can then be requested through the channel your firm has defined, when appropriate.
A business development pipeline your team can maintain
A pipeline is a sequence of follow-up stages. It should describe what has happened, not what you hope will happen. Start with a small number of stages the team can use consistently.
- Awaiting review: a reference has been received or identified but not yet assessed.
- Fit reviewed: an owner has assessed relevance and exclusions.
- Conversation open: a real interaction exists, rather than only a sent message.
- Proposal sent: scope and the next review are recorded.
- Closed: instructed, declined or paused, with a reason and date.
Give every active opportunity an owner and a next action. Without them, a stage can become a label that changes nothing. Prospecting references should remain pending until someone reviews them.
What to automate before automating messages
Small tasks can make a significant difference to continuity: recording a website enquiry, notifying its owner, reminding someone to review a record or flagging a possible duplicate. These are useful candidates when the rules are clear.
A draft can also be prepared from validated information. Your team should be able to check which details were used and edit the wording. A stage change should never send a message by surprise.
Business automation and AI can connect these steps within a clearly scoped project. A tailored integration requires a review of tools, permissions and data transfers. It is not included by default in a prospect research round.

How to connect research cycles with follow-up
Each opportunity should retain its source cycle, evidence links and review date. If the same company appears in a later round, the system needs to flag it without erasing what the team already knows.
The prospecting workflow we are preparing in Bocau OS is designed around that continuity: firm configuration, research cycles and documented opportunities. The specialist integration is in preparation; it is not presented as a complete legal CRM or an active connection to every tool.
The prospecting research cycles product page lets you request a proposal. If you already use a CRM, we can assess whether an export is enough or whether a separately scoped integration is worthwhile.
Measure conversations and proposals, as well as activity
The number of saved references describes activity. It does not demonstrate that the process generates business. To assess its value, you need to know what happened next and maintain a consistent record.
You can track how many references were reviewed, how many were excluded for lack of fit and how many led to real conversations. Then relate proposals and instructions to their source where the evidence allows. Do not attribute the whole result to the final email.
Review reasons for exclusion too. If the companies never fit, the research focus may need adjusting. If the fit is right but the offer is unclear, revisit your presentation or the structure of your firm’s website.
Before connecting email, forms and CRM
Define who can view each record, what information is retained, how exclusions are handled and when data is no longer needed. Test the workflow with examples before applying it to real work.
A published professional email address is not blanket permission to send advertising. For operations in Spain, the rules on electronic commercial communications need to be assessed for the case and channel. An address identifying a person may also be personal data, as explained by the Spanish Data Protection Agency.
The first project can be small: one form, one record and one task for its owner. Once that workflow works and proves useful, there is a sound basis for expanding it.
Good follow-up preserves context and makes it clear who needs to do what.
Frequently asked questions
Do we need to change CRM?
Not necessarily. First check whether your existing tool can record the source, owner, stage and next action. An export or a process adjustment may be enough.
Does Bocau OS replace legal practice management software?
The proposal described here addresses prospect research and business development follow-up. It does not replace legal matter management, procedural deadlines or matter documentation.
Can it connect to the firm’s website?
An integration can be assessed within a specific project. Tools, fields, access and data handling need to be validated before its scope is confirmed.
What should law firms consider under AEPD guidance before automating prospecting?
Researching opportunities is not permission to send advertising. For operations in Spain, the Spanish Data Protection Agency (AEPD) explains that certain professional contact details may be processed on a legitimate-interest basis, subject to purpose and data-minimisation limits. That basis does not, by itself, authorise marketing emails, even when an address is publicly available.
Article 21 of Spain’s LSSI generally requires marketing emails to have been requested or expressly authorised in advance. An exception applies where there is a prior contractual relationship, the contact details were obtained lawfully and the sender promotes its own products or services similar to those previously contracted. A simple, free way to object must be offered when collecting the details and in each communication.
Before activating a workflow, your firm should validate the lawful basis, sources, privacy information, opt-outs and the tools processing the data. Each channel needs its own assessment. Automation does not come with AEPD approval or guarantee compliance. This summary concerns Spain; other jurisdictions require a separate review.
